Terms and Conditions - Your Legal Agreement with BookKeeping-Online

To enable us to carry out work on your accounts and/or bookkeeping you agree to the following Terms and Conditions.
Use of any and all services provided by BookKeeping-Online.net and/or BookKeeping-Online.info and associates is subject to the following legally binding and contractual agreement between you, the 'customer', and BookKeeping-Online, the 'service provider'.

You legally accept the following by your use of service/s provided by BookKeeping-Online, the service provider.

1. As Director ("the customer") of the company the responsibility rests with you to ensure your company complies with all legal formalities. We will assist wherever possible or requested.
2. You undertake to ensure that all documents and information you provide to us, or that is provided on your behalf, is true, accurate, complete and relevant to your company.
3. To indemnify us in respect of any losses or damage suffered by us as a result of any misrepresentation, illegal or fraudulent behaviour on your part or anyone providing information to us on your behalf.
4. That any omissions or incomplete information is your responsibility and not the responsibility of Bookeeping-Online to chase.
5. That Bookkeeping-Online can contact any third party as is appropriate for information we consider necessary to carry out the services requested by you.
6. To provide us with documents and information in sufficient time for us to carry out the services requested by you.
7. To forward to us all copies of bank statements upon receipt to enable us to deal with them as necessary.
8. To forward all documentation of a financial nature either on receipt or at appropriate (and prearranged) intervals and in sufficient time for us to process. Where you delay in sending us the necessary documentation we cannot guarantee that statutory reporting deadlines will be met which could result in penalties by authorities such as Companies House or relevant Tax agencies.
9. To inform us of any change of address, telephone numbers or e-mail addresses where failure to do so could result in communications going astray which we will not be held responsible for.
10. To inform us of any contracts pending which may affect your accounts that you have not yet received documents for.
11. To inform us of any significant changes in yours or your company's circumstances if they are likely to affect the service we agree to provide.
12. That any costs incurred in delivering documents to us are the responsibility of the client.
13. Fees payable to BookKeeping-Online will be paid monthly and our services will not commence until the first payment has been received and approved.
14. That you will provide us with 30 days notice of termination of our services unless you requested a 'one off' service from us originally.


As your bookkeepers we will agree:

1. All information and records you supply to us will be treated with the utmost confidentiality at all times unless otherwise instructed by you or requested under the Law/s of England and Wales; the Police or a Court Order.
2. All data we hold will not be shared, rented, given or sold to any individual or organization but the relevant authorities concerned with your accounting data that has previously been agreed with you. This includes your name, telephone number/, e-mail addresses, company address or any other information supplied to us.
3. To process the information you send us accurately and as quickly as is possible, without guarantee or limitation.
4. To give 30 days notice should we decide for any reason to terminate our services with you.
5. To answer any queries you may have as quickly as possible either by telephone, e-mail or other online systems. (Yahoo IM, MSN IM, Skype)


Our payment terms are:

1. Fees payable to BookKeeping-Online will be paid monthly in all cases and our service will not commence until your first payment has been received and approved.
2. Any changes to the fees structure will be provided to you 30 days in advance.
3. If you transfer the business away, a transfer or setup fee may be incurred for all work completed without limitation.
4. We will invoice you at the end of every month.
5. Invoices should be paid within 14 days of the invoice date, sent by e-mail or uploaded to your unique server area as outlined in our initial communications with you.
6. In the event your invoice is not paid in the 14 days we reserve the right to suspend services until payment is made and to make a daily penalty charge of £10 (ten pounds Sterling per twenty-four hour period or any part thereof).
7. In the event that your invoice is over 30 days in arrears we reserve the right to charge interest daily at 5% above base rate of HSBC Bank plc.
8. In the event of a termination of the contract by either party, and subject to the terms above, we will provide all records complete to the date of termination, provided all outstanding fees have been made to BookKeeping-Online
